iCloud Drive Storage availability & Missing Data

Rendezvous employs iCloud storage so data entered in one device is synced to the other thus allowing freedom for the user to work with an iPad or an iPhone. Several users have reported data loss and sync failures between the iPhone and iPad, especially when upgrading iOS.  Our users use Rendezvous to run their day-to-day businesses. As such, missing appointments has cause havoc with clients showing up for appointments that went missing, or two clients showing up for the same appointment time.

So, what might be causing the problem? It could be a low amount of storage space available in the user’s iCloud account. While we cannot definitively prove this it seems that being close to maxing out the allotted iCloud space has at times corrupted synced data.

That being the case we suggest that if users experience this problem to check the amount of iCloud storage available and if it is close to being maxed out either increase the amount of iCloud storage, or delete some other data from the account – a half a dozen pictures might be sufficient to clear out enough space thus allowing accurate syncing again.

Why Rendezvous does not have a Repeat feature

Many calendar apps such as Apple’s own and Google’s have this feature and we contemplated long and hard as to whether the repeat feature would be included in an appointment app. We decided not to include it for the sake of ease of use. Sure, a repeat feature is useful to individuals for listing their own appointment schedule, but the complexities in dealing with multiple client appointments a day, some overlapping, far outweigh the convenience. Here’s why:

Repeat features can hide conflicts so the use of sophisticated exception program routines are critical. Exceptions must be handled gracefully for all possible conditions, especially if you edit any of the repeat appointments. For instance, if you move an appointment one day forward do you want all of the future appointments to adjust to this new time and date, and if so what if this shift conflicts with another appointment on that day/time? Or, if this is a one-time change, or one appointment is canceled? The App will need to interact with you; asking you what to do. And how do you want conflicts handled – double-book them or alert you as you might have forgotten that another client had booked that time and date – like if one client repeats every 2 weeks where another every 3 weeks – somewhere down the road these appointments will conflict). Either way the number of manual adjustments can become messy and confusing. Holidays and your time off also have to be considered.

Designing the user interface for the on-screen guides must be intuitive with good feedback. The learning curve for handling such exceptions is time consuming – something that busy personal services pros may not have the time to master. You will be asked a lot of questions like:

“You’re changing a repeating event. Do you want to move only this occurrence to MM/DD/YY XX:XXAM/PM or change the date for all future events.”
or
“Possible Incorrect Dates in Series. Please thoroughly check the list of dates to see whether the repeat dates are what you expect. You should also validate there are NO conflicts.”

This is why we have not included the repeat feature in Rendezvous.

Here’s how one of our users handles repeats. If the appointment is a weekly repeat she uses the Week View to do at least 4 to 8 weeks of repeats by sliding to each future week and creating a new identical appointment then moving onto the next week. It’s a bit time consuming but she gets no conflicts or date surprises. BTW, we have discovered in our research that the most changed appointment times are for those that have preset repeat times.

Frustrated!

We got a bad review on the App Store today from a user that said the current 2.0.1 update caused all data to be lost.

We are frustrated that we were not contacted through the Support email link in Rendezvous and on the website. Not having an opportunity to assist and suffer the black mark of a bad review hurts. We have no way to hel[ correct the problem and no way to publicly respond.

All Rendezvous data is maintained in the user’s iCloud account and remains there even if the app is deleted. So a reinstall would bring all data back into the iPhone and iPad.

Plus we advised all users who where upgrading to back up to iTunes – Mac or PC. We even have a special page on the website – Upgrading to 2.0x – that addresses this. So, even if for some strange reason data went missing restoring from the backup would also bring back the app to just before the upgrade.

QR Codes Explained

A QR Code, Quick Response Code, is a type of bar code that contains information about an item, location, announcement, coupon, etc.

We use QR Codes to store client information, specifically email address and phone number. Each client has a unique QR Code that is created when the client name, the email address or phone number is entered into the client information screen.

This QR Code can be used to call, email or text message this client. By using one of a number of free QR Code Readers the client information is displayed on your smartphone. Then tap on any of the three selections to call, send an email, or send a text message.

International Salon & Spa Expo 2015 Ramblings

We exhibited Rendezvous at the annual International Salon & Spa Expo in Long Beach, CA last weekend, and it was a great show to demonstrate how Rendezvous is THE appointment book for the iPad for the independent stylists, nails and makeup professionals.

Rendezvous was very well received, especially for just $3.99.

But we had to clarify the price. It seems that because most, if not all, salon appointment computer programs are subscriptions requiring a monthly fee (calculated by the number of service professionals supported). These are turnkey systems ideal for salons and spas that employ these service professionals.

But Rendezvous is not for use by a group and has no other additional features found in the turnkey salon management products. It was created for the independent professional who may still be using the traditional paper and pencil app. It is a stand-alone appointment book and nothing else.

So, when our Indy visitors to our booth discovered the price was only $3.99 with no subscription fees we saw a lot of smiles (and downloads, we hope).

We also discovered that many stylists, nail and makeup pros had iPads at home just using them for personal use. We suggested that they buy Rendezvous, take their iPad to their shop, add a credit card payment app (Like Square) and use the iPad for business so they could write off it on their taxes. That got smiles as well.

Freeform Client Information Storing – NO LIMITS.

A reviewer wrote that Rendezvous was useless unless there was a means of inputting a client’s address.

Well, actually you can.

We don’t have an address field but that doesn’t prevent an address from being entered. Take a look:

AddressEntryWe didn’t see a need to add a structured address form since the majority of professionals Rendezvous is designed for serve their clientele at their facility – a salon, gym, studio, sports venue (pool), or one’s own home. But if someone who served their clients at their clients’ facilities then addresses could be stored as part of the Client Notes.

Cool User Tip – Personalizing for you own personal life.

Some users have set up Rendezvous as their personal calendar by creating a client called “ME” for yourself.

When you have an appointment, say for the doctor, or dentist put that detail in the Appointment Notes.

Make appointments for yourself.

Add a client called LUNCH and another called DINNER.

Use these to schedule you lunch and dinner engagements. Just put the names of those you are dining with in the Appointment Notes.
